Scheduled delivery automates the entire reporting workflow. Once you configure a schedule, Visen.io generates the report and sends it to your chosen recipients automatically — no manual steps required.

Schedule a report

1

Select a report template

In the left sidebar, click Reports, then open the Schedules tab. Click New Schedule. Choose the saved report view you want to deliver. If you haven’t created a view yet, see Automated Reports to set one up first.
2

Add recipient email addresses

Enter one or more recipient email addresses. You can add multiple addresses separated by commas. Each address receives its own copy of the report.
3

Choose the delivery frequency

Select how often the report should send:
  • Daily — every day at your chosen time
  • Weekly — a specific day of the week
  • Monthly — a specific date each month (for example, the 1st or last business day)
  • Custom — define your own delivery cadence
4

Set the delivery time

Choose the time of day for delivery and your time zone. Reports generate a few minutes before the scheduled send time so they’re ready on delivery.
5

Activate the schedule

Click Activate. The schedule is now live. The next delivery date and time appear in your Schedules list.
Double-check all email addresses before activating a schedule. Reports send automatically at the scheduled time — there is no confirmation step before each delivery.

Manage existing schedules

All active and paused schedules appear in Reports > Schedules. From this list you can:
  • Edit — update recipients, frequency, time, or the report template
  • Pause — temporarily stop deliveries without deleting the schedule
  • Resume — reactivate a paused schedule
  • Delete — permanently remove a schedule
To edit a schedule, click the schedule name, make your changes, and click Save. Changes take effect on the next scheduled delivery.

How clients receive reports

Clients receive an email with your report attached or linked, depending on your export format setting:
  • PDF or HTML attachment — the file is attached directly to the email
  • Link — the email contains a download link to the generated report (useful for large files)
If you’ve configured white-label branding, the email and report both display your agency branding.

Client portals (Enterprise)

On the Enterprise plan, you can give clients access to a branded client portal — a persistent, always-on view of their reports. Instead of waiting for an email, clients log in to the portal and see all their delivered reports in one place. To enable a client portal:
  1. Go to Settings > Client Portals.
  2. Click New Portal and enter the client’s name and email domain.
  3. Apply a white-label template to brand the portal for that client.
  4. Send the client their portal login link.
Reports delivered on a schedule are automatically added to the client’s portal as they generate.

Track report opens

Visen.io records when recipients open emailed reports and when they access reports via the client portal. View open timestamps and engagement rates in Reports > Delivery History. Use this data to confirm clients are reviewing reports and to identify the best delivery times for your audience.
